The proposed solution includes a secure online registration system, live payment gateway integration, virtual attendee platform, hybrid live streaming support, and post-event digital archive infrastructure to ensure seamless participation for both physical and virtual attendees.

The system is architected to support a large-scale hybrid conference environment, with an estimated 650–700 physical participants and open virtual access, ensuring performance stability, secure data handling, and structured reporting aligned with corporate and government event standards.

The digital infrastructure will enable:

Pre-event participant registration and QR-based access management
Secure login-based virtual attendee experience
Live session streaming and on-demand access
Integrated payment processing for applicable ticket categories
Backend monitoring, reporting, and engagement tracking
On-site and remote technical supervision during event days
Post-event archive hosting and data handover

Terms & Conditions

This is a fixed-price quotation based on the scope outlined above.
A 50% deposit is required upon acceptance of this quotation before work commences. The remaining 50% is payable upon completion and prior to final deployment.
This quotation covers only the items and scope explicitly stated. Any additional features, revisions, or requests outside the agreed scope will be quoted separately.
The client is responsible for providing all required content, approvals, and timely feedback to ensure the project timeline is met. Delays in approvals or content provision may affect delivery schedules.
Basic message moderation is limited to approve or reject functionality only. Advanced moderation features, analytics, reporting, or content editing are not included unless agreed in writing.
The system is developed for use during the specified event period. Post-event changes, extended usage, or reuse for future events are not included unless separately agreed.
The developer shall not be held liable for issues arising from third-party services, payment gateway providers, network connectivity, hosting environments, or event hardware infrastructure.
Support is limited to the agreed development and deployment period. Ongoing maintenance or post-event support is not included unless separately agreed.

Scope Boundary - The following components remain under the responsibility of the appointed event management and production vendors unless otherwise agreed in writing:

• AV equipment, LED systems, cameras and physical production infrastructure

• On-site physical event crew and staffing

• Hosting extension beyond the agreed post-event archive duration

• Merchant account ownership and financial settlement handling

• Content production, video editing, or creative asset development
